Pointe & Play Podiatry is committed to protecting the privacy of our patients and families.
We collect, use and manage personal and health information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles and our professional obligations.
Information We Collect
This may include:
patient and parent/guardian contact details
medical, developmental and family history relevant to care
diagnoses, medications, allergies and sensitivities
information about symptoms, gait, movement, activity and footwear
assessment findings, treatment plans and clinical records
referrals, reports and correspondence
information relating to orthoses, braces, AFOs, footwear and other assistive technology
clinical photographs or gait video where appropriate consent has been obtained
Medicare, private health, billing and NDIS information where relevant.
Information may be collected from the patient, parent or guardian, referring or treating healthcare professionals, or another appropriately authorised person or organisation.
How We Use Information
Personal and health information may be used to:
provide, plan and review podiatry care
prepare referrals, reports and clinical correspondence
prescribe and review footwear, orthoses, braces and assistive technology
communicate with patients, families and relevant healthcare providers
manage appointments, billing and administration
provide Medicare, private health or NDIS-related services where applicable
meet professional, legal and regulatory requirements.
Information is only used or disclosed for purposes reasonably connected with the patient's care or operation of the practice, or where otherwise authorised or required by law.
Storage and Security
Clinical records are primarily maintained electronically using approved practice systems.
Other approved service providers may be used for functions such as communication, billing, clinical documentation and assistive technology provision.
We take reasonable steps to protect personal and health information from misuse, loss, unauthorised access, modification or disclosure.
AI-Assisted Clinical Documentation
Pointe & Play Podiatry may use approved healthcare-specific AI tools to assist the treating podiatrist with drafting clinical reports, letters and other written clinical documentation.
We do not use AI to record or transcribe patient consultations.
AI is used as a documentation aid only. Final clinical documentation is reviewed and approved by the treating podiatrist.
Sharing Information
Where appropriate and authorised, relevant information may be shared with:
GPs, specialists and other healthcare professionals involved in care
orthotic, assistive technology and other relevant suppliers
schools, childcare providers or other organisations where appropriate consent has been provided
Medicare, private health insurers and other funding organisations
NDIS Plan Managers, Support Coordinators, representatives or the NDIA
service providers reasonably required to operate the practice.
We aim to share only information reasonably necessary for the relevant purpose.
Information may also be disclosed where required or authorised by law.
Clinical Photographs and Video
Clinical photographs or gait video may be used where clinically appropriate and consent has been obtained.
They may form part of the clinical record and will not be used for advertising, social media or other public purposes without separate consent.
Accessing Your Records
Parents or guardians may request access to their child’s record at any time. Corrections can be made where information is incomplete or inaccurate.
